Job Description

Manage administrative tasks and projects within the Department.

Legal: - Manage contracts with customers and suppliers (medical consultans, trainings...) Finance: - Manage invoice process and follow up payments - Enter expenses in expense tool and follow up Communication: - Develop strong customer/peer relationships with the other Departments and Pharma Areas - Organize and coordinate Team activities/ Team events - Coordinate the internal/external communication activities Human Resources: - Provide office orientation for new employees - Serve as a point of contact for Department - related requests (Ariba/Database) for Employees and Customers - PKI/Access Rights/Badges/Canteen Cards - Coordinate/lead the adm. Assistants team Sourcing: - Coordinate and assist travels (flights, visas, ground transportation, currency, etc) - Ensure that Purchasing process is coordinated. General: - Perform general clerical duties - Assist the medical team meetings

Achievement of agreed targets in terms of quality, time and cost.

Perfil buscado

Minimum requirements

Commercial or Secretarial diploma Good command of English and Spanish (other languages: ie french) -Minimum three years experience in secretarial and/or administrative support work, preferably in an international organization. -Computer literate (Office). -Ability to collaborate harmoniously within a team of people from various cultures. -Good understanding of the administrative procedures. -Excellent communication skills.
