The Vision Experience Centre VEC is part of Johnson & Johnson institute. The VEC is supporting Johnson & Johnson Surgical Vision training, certification and demonstration needs for our EMEA (Europe Middle East Africa) internal and external customers.
Position Summary
The VEC Site Coordinator provides support in day to day operation of the VEC and coordinate with different departments (local EMEA countries) external (customer) or Internal (employee) events at the VEC. Receives day to day visitors at our facility, manage supplies for the VEC training, coordinate events and equipment moves for congresses or other events.
Core Job Responsibilities
General:
· Manage calendar request to prepare training requisites in advance and remind meeting organizer of pending actions, training needs
· Coordinate training logistic and manage equipment availability with ASM-GEE-Service representatives
· Manage day to day VEC site needs (cleaning, office supplies, contracts, H&S..) and act as front desk welcome key point for external visits
· Daily reception & shipment and Monitoring & tracking VEC billing, PO creation, invoice follow up…
· Equipment move logistic for Demos and congress
· Manage minimum stock supplies for training
· Manage meeting request outside of webtool: invitation letter follow up, Airport pickup, Hotel reservation, Restaurant Booking, Team activity
Meeting & event preparation: Room setup (conference, meeting…) depending on number of attendees, Room preparation (folders, drinks..), Badge Access preparation from list of participants, Building Access request with suppliers outside of normal hours
Ordering: Generate PO in SAP following J&J process, Mkt Material for meeting (folders, pen, USB, brochures…) and invoicing to meeting organizers, Consumable for wetlab (LOI, OPO, Eyes…) from suppliers or Business Units, Consumables General (coffee, water, drinks…),Office supply.

Qualifications :
Qualifications & Experience
· Highly Fluent in English & Spanish
· Other language as: Catalan, French, Italian and/or German would be a plus
· Good knowledge and use of Microsoft Office and SAP
· Customer facing skills
· Outstanding Attitude to team work
· Excellent Organizational skills
· Flexibility
· High standards of ethical, professional and personal behavior.
· Great interpersonal communication skills
