Job Description – Facilities Administrator

What this involves:

·  To assist with all aspects of monthly, quarterly and annual finance reports / analysing in client / IFM Singapore
·  Responsible for successful delivery of a comprehensive range of financial services and support; ensuring client meet its financial commitment goals.
·  Manage the day to day financial and accounting operations, and support site lead for client / accounts’ billing and invoicing.
·  Provide financial advice and support to client / account.
·  Act as primary liaison with the Account Manager / Site Lead / client
·  Support client / accounts’ billing and invoicing
·  Monthly expense and debtors’ management
·  Assist in the preparation of budget and forecast and quarterly Facilities Cost Allocation to the different business units
·  Oversee the procedures and support of clients’ accounts
·  Manage financial requests, review and provide standard and ad-hoc reporting and performance analytics
·  Participate in business planning, quarterly updates including developing baseline by executing statistical trend analysis and review balance sheet forecast.
·  Review and consolidate account savings targets and quarterly update including management review deck generation.
·  Detail-oriented and organised

You are the go-to person for finance matters in the team.  With a proper filing system, you will be responsible for preparing and keeping track of all invoices, delivery orders and work orders.

·  Prepare and send out purchase orders, work requisitions and etc in both JLL system and client’s system
·  Assist site lead with the new JLL vendor registration process and client’s registration process
·  Any other ad-hoc duties assigned

·  With at least 2 years of experience in Finance / Accounting
·  Must be both a team and individual contributor
·  Demonstrate Can do attitude with ability to multi-task and work under pressure
·  Sound interpersonal skills to manage diverse range of service providers and Client representatives
·  Sound written and oral communication skills
