What this job involves

                 

We are currently seeking a Brokerage Assistant (BA) to support our Cleveland Brokerage team. This role provides marketing and administrative support under the direct supervision of a combined team. The Brokerage Assistant will work in a fast-paced, team-oriented environment.  This individual will report to the Brokerage Coordinator in the Cleveland office.   

Job Description:

Marketing related responsibilities

·  Assist team with preparing and updating client-specific reports.
·  Leverage templates to create proposals and presentations.
·  Contact internal and external resources for information.
·  Prepare and distribute marketing materials/packages. Knowledge of appropriate software is mandatory for this – e.g. PowerPoint, InDesign.
·  Create e-blasts via company supported software, Eloqua.
·  Update distribution and broker lists.
·  Active liaison between brokerage team and marketing department.
·  Coordinate/manage mailings - partner with marketing department and/or external vendor as needed.
·  Assist and participate as needed for industry functions or client events.
·  Assist in ensuring that all marketing materials present the JLL brand consistently and follow corporate brand standards.
·  Work with appropriate contact to maintain internal/external sites for client and property purposes.

 
Administrative responsibilities

·  Support the team in utilizing Outlook, CRM and other, data entry and maintenance for the purposes of direct marketing and client relationship development.
·  Provide support to the team in technology applications such as Excel, Pro-calc, Spider and other company supported programs.
·  Assist team with preparing and updating client-specific reports.
·  Prepare and execute expense reports on a regular and timely basis.
·  Submit check requests for the team to Corporate Accounts Payable Department.
·  Create and maintain filing system and efficient information retrieval system.
·  Enter and maintain all transactional information and documents in Dealio, i.e. – lease reviewal to pull pertinent information, update deal progress, generate invoices and commissions, execute/close deals, generate work in progress reports for brokerage team, etc.
·  Produce timely and accurate word-processed documents (reports, memos, proposals, charts, agreements, PowerPoint presentations, etc.)
·  Perform ad hoc administrative functions that support the business and revenue generation within the sales team.
·  Any and all other duties and tasks assigned.

 
Education and Experience

·  Bachelor’s Degree or commensurate experience preferred.
·  Workplace experience, minimum of 2 years in marketing and/or administrative support role – a fast-paced work environment preferred

Knowledge, skills and abilities

·  Advanced Microsoft office product knowledge required – Excel, PowerPoint, Word and Outlook.
·  Adobe Creative Cloud proficiency preferred:  efficient in InDesign, Photoshop, Acrobat DC
·  Proactive – does not wait for tasks to be asked, but always prompts to identify what else can be done.  Ability to see projects coming as team works through deal cycle.
·  Self-Starter – able to start and complete projects independently.
·  Enable brokers to focus on revenue generating tasks by efficiently handling operations of team.

·  Ability to multi-task and work in a fast-paced environment.
