Job description



General:

·  Represent JLL in the local and regional business and real estate community in order to promote JLL’s reputation and capabilities to prospective tenants and clients.
·  Demonstrate a high level of professionalism, courtesy and respect towards others.
·  Develop and maintain proficiency in Microsoft Office and JLL software programs and platforms.
·  Identify and initiate process improvements for efficiency and savings.
·  Complete JLL recommended and required training.

Operations:

·  Inspect facilities to determine extent of service, upgrades and repairs required.  Recommend, justify, develop and coordinate projects that enhance the value of the buildings.
·  Work with Building Engineer and third party service providers to arrange for maintenance, repairs or reconditioning of properties as specified in the operating budget or management plan.
·  Responsible for the development and implementation of property manuals and on-line systems, including electronic file system, work order system, contact lists, contract tracking log, tenant handbook, emergency procedure manual, COI program, Marketplace, BRAVO and Energy Star.
·  Responsible for meeting the Compliance Excellence Program requirements and assisting with the completion of Operations Compliance Program.  Assures compliance with JLL policies, procedures and standard practices.
·  Oversee development and implementation of all Tenant communication, orientation and retention programs. Proactively meet with tenant representatives on scheduled basis. 
·  Coordinate and implement the Tenant emergency training and preparedness program. 
·  Maintain role as primary/secondary contact for tenants relative to tenant service requests. 
·  Employ or contract for onsite management and engineering personnel, as delineated within the operating budget.  Submit hiring recommendations to General Manager for approval.

Contract Administration and Services:

·  Competitively bid and prepare all service contracts using JLL client approved agreements to assure high quality and cost effective services.
·  Manage service contracts according to specification/scope. Follow up with GM on service contract performance issues and verify accuracy of billing and lien waivers.
·  Keep active service contracts current.

Project Management

·  Manage construction projects such as tenant improvements, common area renovations and major repair projects.

Lease Administration

·  Support leasing brokers by providing requested data and documents.
·  Review leases to understand and enforce terms.
·  Perform lease administration services including lease abstracting to ensure an accurate rent roll and tenant billings.  Prepare and manage electronic and paper lease files. Audit lease files as requested.

Financial Administration:

·  Prepare and review financial documents pertaining to all building operations.  Includes: tenant billing processes, occupancy rates, lease expirations, financial reporting and compliance for client.
·  Report to General Manager variances, concerns and projections needed to sustain building operations.
·  Work with JLL’s Client Accounting Services (CAS) to implement the accounting process fully including AP, AR and financial statements.
·  Ensure accurate and timely payment to tenant accounts; implement the accounts receivable process and maintain accounts receivable records.
·  Administer the accounts payables program using Yardi Payscan to ensure timely payment of invoices. 
·  Develop, implement and manage the annual operating budget. 
·  Complete annual operation expense reconciliation and CPI adjustments.

Requirements:

·  Associate or bachelor’s degree. A degree in either finance, accounting or property management is strongly preferred.
·  3 years of commercial property management experience including budget preparation/financial reporting, familiarity with building systems, lease administration and project management.
·  Must be able to obtain the required real estate license within the first 12 months of employment.

Highly Desirable Attributes

·  Ability to read, analyze, and interpret legal documents (lease documents, contracts, etc.), general business periodicals, professional journals, technical procedures and government regulations.
·  Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors and peers.
·  Ability to define and resolve complex issues with practical value added business minded solutions.
