Description of the job

A vacancy for Executive Assistant has arisen within Airbus Defence & Space in San Pablo (Seville).
The successful applicant will join (MANAGEMENT / Administration & Documentation).

The successful applicant should be able to work on shifts, if required.

Tasks & accountabilities

Your main tasks and responsibilities will include:

·  Management of any administrative task within the OSW IFA Team TOKBM6
·  Daily NC tracking and analysis of SQCDP board and monthly SQCDP update of sheets.
·  Booking of meeting rooms for IFA teams.
·  Office stationery ordering in Buyside.
·  Request of incidents and repairs within IFA facilities/installation (SGS Tool).
·  Shared Folder Service Management (SFS).
·  Travel booking and travel expense management if required.
·  Organization of internal and external events.
·  IT Support for OSW IFA Teams and work package in Seville.
·  Focal point for any software needs for IFA workers and work package.
·  Ensure hardware availability for new comers.
·  HR Support: Support for expatriated personnel.
·  SAP PHM support to adjust system failures with time/hours or shift introductions.
·  Contact with AGPS to request specific requests as moving days, special holidays etc.
·  Weekly additional work and On Call Service reports to work council.
·  Access to Site: Secure that access documents are up to date and ensure worker´s access to site when requested.
·  Ensure all documents (Service + workers) are up to date in GESUB tool for IFA workers and work packages.
·  Manage visitor´s access.
·  Get Airbus badges for new comers.
·  Manage access to parking.
·  H&S: Focal point for any Health & Safety issue for IFA employees at FAL A400M Sevilla, San Pablo Sur.
·  Ensure regular medical check-ups for IFA workers are up to date and organize if needed with local supplier Fremap.
·  Internal communication of H&S alerts communicated by FAL.
·  Regular Safety tours.
·  Regular work place analysis within IFA teams.
·  Focal point for any H&S issues e.g. accident reporting etc.
·  Trainings: Support to training need creation and training organization.
·  Planning of training needs and support to organize trainings on site as a money-saving activity.

Required skills

We are looking for candidates with the following skills and experience:

·  Educated to vocational training level (or equivalent) in administrative, secretarial or a related discipline.
·  At least 2-3 years of experience in a related area.
·  English, Spanish and German must be negotiation level.
·  Planning ability (need to anticipate to cope with urgent and unplanned actions / issues)
·  Excellent organization capability.
·  Reliable, autonomous and flexible.
·  Able to take initiatives and to work self-motivated.
·  Able to prioritize actions/tasks.
·  Able to work under pressure and to team with secretary.
·  Strong communication and interpersonal skills and, have a lively and enthusiastic personality.
·  Able to deal with managers and partners of different nationalities.
