JOB TITLE: Administrator (Legal Team)
LOCATION: Ealing (West London) - full time office
PAY RATE: £14.32 paye Per Hour)
DURATION/HOURS: 3 months (possible extension)/ Mon-Fri 35 hours
START DATE: ASAP
Role purpose:
To provide confidential administrative support to the Legal Services Division.
Key accountabilities:
· Collect incoming post, open, scan and email to legal staff. Deliver outgoing post to the post room.
· Monitor/action requests sent to legal support mailbox: print/post letters and documents, scan/post documents after sealing, bind documents, photocopy, collect printed copies of legal bundles for posting.
· Seal legal documents: prepare documents for manual sealing, enter in sealing log and seal documents for signature by Heads of Service.
· Assist in preparation of leases for legal client: create leases, correspond with managing agents/client, update files/spreadsheet and ensure leases are signed by all relevant parties.
· Using legal case management system to find information regarding fee earners and legal matters. Entering invoice/court fee information onto the system.
· Add s106 documents to Earthlight system.
· Archive files for fee earners and update relevant spreadsheets. Retrieve files and boxes containing matter files for fee earners from archive and arrange their return.
· Arrange team meetings when required using MS Outlook/MS Teams or other.
Knowledge, skills & experience:
· Good working knowledge of IT applications including Windows/Office 365
· Ability to communicate effectively orally and in writing.
· Ability to maintain confidentiality at all times.
· Experience of utilising ICT systems
· Experience of providing support in a legal environment
