Meet Priya,

 

Priyais a Buyer Administrative Assistant in our Merchandise Operations Department. She supports day to day administrative tasks for a group of assigned buyers including the generating and reviewing of reports and gathering data required by the Buyers.  This role works collaboratively across the administrative function to co-ordinate and schedule meetings and deliver important market materials that enables the buying team/complex success.

Now, if you were to come on board as one of ourBuyer Administrative Assistant, we’d ask you to do the following:

 

·  Work closely with EA’s and other Admins to co-ordinate and provide admin support for various meetings (i.e. Strategies, Events, Vision, One World Meetings etc.): booking rooms, ordering food, sending agenda, order/set-up technology in the room, minutes/transcribe and publish notes
·  Run a set of ‘core’ reports and provides to buyer within agreed upon timeframes and delivery method.
·  Prepare market materials for buyers i.e. Vendor Visits, Report preparation, Binders, Boards. 
·  Run vendor market/visit reports, coordinate printing (with Workplace services/vendor or may print themselves), collates and produces materials/binders.
·  Gather customized data required by the Buyers to support discussions and strategies with DMM.
·  Interpret mainframe reports, extrapolate items that require investigation by the Buyers
·  Accountable for the completeness and accuracy of all materials prepared for the Buyers.
·  Provides calendar management and scheduling support for buyers.  Schedules and maintains calendar of appointments, meetings, and travel itineraries and coordinates related arrangements.
·  Works closely with buyers to complete buyer expenses and book travel (proxy) adhering to company guidelines and timelines.
·  Pick up and distribute mail and pay stub for Buyers
·  Print correspondence for Buyers
·  Provide support foronboarding systems and desk set-up
·  Provide technical support to set up templates (eg. Buy Plans)

·  Post-Secondary education and/or equivalent experience required.
·  1-2 years Administrative experience
·  Excellent organizational skills, with a focused attention to detail to support a large group with potentially multiple competing priorities.
·  Collaboratively orientated to coordinate across teams and functions and schedule meetings and partner on key deliverables in peak times. 
·  Advanced computer skills using Excel & MS Office
·  Ability to proactively plan for upcoming work load/activities
·  Flexibility with the ability to handle multiple priorities and adapt to the changing needs of the business.
·  Strong service orientation when dealing with internal and external parties.
·  Ability to problem solve and solution management skills required
·  Experience in Retail or Corporate environment considered an asset.
