Introduction to the job

TechnipFMC has an exciting opportunity for an experienced Administration Assistant to join the team. This role will be to provide administrative support to various Department Managers and their teams, in regard to data collection, processing and reporting.

We are looking for someone dynamic, who can 'hit the ground running' with processing expense claims, generating PR's, reconciling invoices/accounts. You will be a whiz with formatting documents and arranging meetings/video conferencing/catering as well as willing to assist the broader admin team as and when required.

Job Description
Ā·  Schedule appointments and coordinates arrangements for meetings and conferences (including catering when required).
Ā·  Assemble data and compiles information as directed.
Ā·  Produce a variety of correspondence, reports and presentations using the appropriate software for word processing, graphics, and spreadsheets.
Ā·  Organise and expedites flow of work and initiates any follow-up action.
Ā·  Format and maintain all HR procedures and forms in required TechnipFMC templates and coordinate approval through quality and document control
Ā·  Provide day to day support to the Head of HR, IT & Admin and the Head of Finance
Ā·  Provide Corporate and departmental administration support and act as back-up on an as needs basis, including reception cover.
Ā·  Process Delegation of Authority forms and maintain database
Ā·  Manage travel as required for Finance department including bookings, costing/approvals
Ā·  Raise annual Purchase Orders, and adhoc orders for department when required
Ā·  Prepare regular reports, gathers and summarises data and distributes, including HR Weekly Report.
Ā·  Create new records and maintain HRIS (Oracle).
Ā·  Administer and coordinate contractor workforce, including personnel agency coordination
Ā·  Administer employee benefits (gym membership, Smartrider allowance, staff anniversary awards etc.)
Ā·  File, scan and maintain all personnel files.
Ā·  Archive and maintains HR records and storeroom.
Ā·  Manage travel as required for HR department including bookings, costing/approvals

You are meant for this job if;
Ā·  You've had previous administrative experience working in a fast paced environment
Ā·  Intermediate MS Office Suite (Excel / Word / PowerPoint / Outlook.
Ā·  Demonstrated Lotus Notes Database/ Oracle experience.
Ā·  Strong communication skills (telephone, written and verbal).
Ā·  Excellent organizational skills, coupled with high attention to detail.
Ā·  Knowledge of website authorizing systems
Ā·  Demonstrated strong initiative, proactive and persuasive approach.
Ā·  Ability to work independently, with minimum supervision.
Ā·  Strong planning, time management and communication skills.
Ā·  Excellent interpersonal skills.
Ā·  Strong attention to detail.
Ā·  Ability to work collaboratively within a multicultural environment
Ā·  Flexibility to work additional hours to meet the needs of the department
