Responsibilities:

·  Calendar Management:Organiseand coordinate internal/external (international) meetings that include team meetings, video and teleconferences, WebEx, off-site meetings, meeting with external partners, etc.
·  Support for leadership meeting, companytownhalland eventorganisationin cooperation with in-house service functions and/or external parties when required.
·  Responsiblefor travel, meeting and event organization in cooperation withexternal partiesifneeded.
·  Preparevisitor programs, entrance and leaving of employees, support newemployees with administrative tasks.
·  Generaladministrative duties will also include processing travel expense claims, ordering of office materials, organizing catering service formeetings.
·  Administerpurchase orders, invoices and monthly accrual processes in close collaboration with team managers, Procurement and Finance.
·  Act as contact person for general request involving assigned team, such as moves, office set-up/allocation, etc.
·  Deals with e-mails and correspondence in English.
·  Responsible for internal and external mail distribution.
·  Administerdepartmental stationeries & other goodsi.ewelcome stationery pack, t-shirts, etc.
·  PrepareLetter of Invitation (visa) for affiliates and internal staff.
·  Managedatabase and filingsystem.
·  Providingcover for other administrative assistants as needed (includes front office/reception).
·  End-to-endoffice management for team area, that includes periodic checks on general office functionality.
·  Ensures best practices are applied
·  Ensure all business activities comply with relevant Company SOPs, local laws and are of high ethicalstandards

Experience of

·  Strongability to prioritize and organize work effectively, adhere to tight and establishedtimelines
·  Professional, outgoing person who can liaise with different audiences and cultures, handle difficult and oftenpressurizedsituations and respond effectively to requests
·  Essentialstrengths for this position are good MS Office (Word, Excel, PowerPoint, Outlook)and Google (gmail&gcalendar) skills
·  Proactivity, flexibility, initiative, excellentorganizational skills.
·  Demonstratedcommunication skills with a focus on customerservice
·  Effectiveand professional verbal and written communicationskills.
·  Abilityto perform work with limited direction and guidance.Abilityto prioritize effectively and multitask, meet all deadlines and manageup.
·  Demonstratesgood judgment in selecting methods and techniques for obtainingsolutions.
·  Workswell with others and follow through to execute all tasks.
·  Language: English and Malay, Chinese is a plus

Qualifications

·  Diploma
·  Minimum 3+ years experience working in an international environment
·  Minimum 3+ years experience in a similar assistant role.
