The GYM is P&G's internal capability to enable P&G team experiences in the format of a workshop to work on a spectrum of business problems. The GYM provides a physical venue in Cincinnati at the Beckett Ridge Innovation Center and also provides a suite of Innovation tools for teams. The GYM Operations Administrative Support role consists of executing GYM operations key processes to support GYM workshops for customer teams through the planning, execution and post session work processes. Work processes within responsibilities include GYM calendar proactive management, workshop logistic coordination, invoicing, catering and meeting real time requests from GYM guests. The chosen candidate will partner with the GYM Operations manager as well as with the GYM operations contractor team to drive end to end GYM operations.

Qualifications

Requirements (skills / experiences) for the role:

·  Digital Tools expertise to run multiple digital systems including electronic calendar, GYM website, SharePoint and other customized digital tools including Microsoft office suite of tools.
·  Experience balancing financial spreadsheet digital environment for invoicing and budget management. This includes data entry and real time tracking of customer consumption costs for accurate invoicing and cross charging. Financial background is a plus.
·  Customer service experience in professional environment including addressing requests of senior managers. Ability to problem solve in real time under pressure as unplanned situations might arise related to customer needs within GYM operations. This includes the ability to flex working hours as needed within company guidelines.
·  Proven record of effectively partnering with teams ranging from managers to external contractors. This includes ability to “flow to the work” as needs arise from daily GYM operations.
·  Ability to effectively understand how to use P&G work processes and systems ranging from facility tools (eg, work orders) to more sophisticated systems like Coupa and Symposia City.
·  Administrative support foundational skills to support P&G managers on basic suite of tools including expense reporting, calendar management and other requirements.
·  Willingness to learn new tools and systems internally and externally.
·  Minimum of a high school diploma or GED also a degree is helpful.
