What this job involves

We are currently seeking a Brokerage Coordinator to support our brokerage team in our NYC office. This role provides administrative support under the direct supervision of a combined team. The position will work in a fast-paced, team-oriented environment.  

Broker Support & Client Management (70%)

·  Coordinate calls, meetings, tours
·  Prepare and maintain leasing reports and track leasing activity and prospects
·  Maintain list of active assignments and track agreement expiration dates
·  Coordinate with Consulting team to run financial analysis
·  Coordinate with Legal to prepare legal agreements between clients or third parties
·  Coordinate with Research to compile demographics, comps, availability, and update street maps, for clients

Marketing Support (15%)

·  Coordinate with Marketing to prepare marketing materials (i.e. flyers)
·  Assist in the preparation and maintenance of marketing-for-brokerage materials and presentations
·  Support client events (e.g., planning, graphics, coordination, hosting, etc.)
·  Prepare due diligence proposals (which include documentation, market information, sales analysis, tenant matrices and other analytical information)
·  Support sales professionals in responding to Requests for Proposals (RFPs) with document management, formatting and graphic assistance

Administrative Support (15%)

·  Create/edit client deliverables/documentation (i.e. proposals, letters, reports, memos, etc.)
·  Manage client distribution list creation and maintenance within the CRM system
·  Train and develop Power User status with internal systems and technology (e.g., SharePoint, CRM interface, automated e-blast publisher, etc.)
·  Serve as a back-up resource for administrative tasks to support seamless department operations

·  Must be proficient in Microsoft Office Suites (Word, Excel, PowerPoint)
·  Strict adherence and dedication to deadlines
·  Excellent communication skills 
·  Strong project management skills and ability to organize use of time
·  Ability to organize use of time in a fast-paced environment, completing multiple projects simultaneously
·  Organized and strong attention to detail
·  Minimum of 2+ years of experience in real estate
·  Bachelor’s degree, or equivalent
·  Already possess Real Estate Sales license or willing to obtain Real Estate Sales license.
