Brokerage Assistant

We are currently seeking a  Brokerage Assistant  to support our Industrial Brokerage Team in in our Nashville office.  The Brokerage Assistant is responsible for prioritizing projects to meet deadlines in a fast-paced, team-oriented environment. 

Position Overview:

The Brokerage Assistant is responsible for prioritizing projects to meet deadlines in a fast-paced, team-oriented environment. This position will be responsible for providing full administrative and marketing support to four or more brokers in the organization. Duties may include a broad range of tasks involving confidential or technical information. This position requires a person who can be responsible for prioritizing projects in order to meet multiple deadlines in a fast-paced, team-oriented environment.

Responsibilities Include:

Marketing / deal related responsibilities:

·  Partner with brokerage sales team to help achieve team’s production and operational goals
·  Edit and produce marketing materials in InDesign and PowerPoint
·  Prepare and distribute marketing materials/packages including but not limited to maps, aerials, team marketing pieces, flyers, submarket updates, and market analyses.
·  Produce timely and accurate of word-processed documents including reports, memos, proposals, charts, agreements, PowerPoint presentations, case studies, etc.
·  Prepare market surveys, tour books, proposals, summaries, abstracts and other relevant documents as needed  
·  Maintain all project files, including revenue projections, CRM entries, and deal close-outs
·  Coordinate/manage mailings, partnering with JLL DocuCenter and external print vendors as needed 
·  Contact internal and external resources for information used to create surveys and reports used to win/maintain business 
·  Support brokers in utilizing Outlook, Client First and other data entry and maintenance for the purposes of direct marketing and client relationship development 

General administrative responsibilities:

·  Assist with and participate as needed in industry functions, conferences and client events
·  Provide support to team in technology applications, i.e. Dealio, CRM, Outlook and other company supported programs 
·  Prepare and execute expense reports on a regular and timely basis
·  Coordinate travel arrangements as needed
·  Perform clerical duties to include photocopying, mailing, faxing documents, scheduling business appointments and coordinating calendars 
·  Coordinate deal information and and maintain regular contact with Marketing Manager for PR and branding purposes 
·  Ensure that all marketing materials present the JLL brand consistently and follow corporate brand standards
·  Participate in the firm’s best practices conference calls

Requirements

·  Bachelor’s Degree or commensurate experience preferred
·  Workplace experience, minimum of 3 years in administrative support role required
·  Real estate background is preferred  
·  Tennessee Real Estate License or ability to become licensed preferred but not required
·  Current user of Adobe Creative Suite (mainly InDesign, Photoshop, Illustrator)
·  Advanced knowledge of Microsoft office products - Excel, Word, PowerPoint, Outlook
·  Adaptability – Maintain effectiveness in varying environments, tasks and responsibilities, or with various types of people. 
·  Planning and organizing – can establish course of action to accomplish goals and evaluate results, develop schedules and orchestrate multiple activities at once to accomplish goals
·  Customer focus – dedicated to meeting the expectations and requirements of the external and internal customer, acting with customer in mind
·  Interpersonal savvy – relates well to all kinds of people using diplomacy and tact
·  Learning on the fly – can learn quickly when facing new problems, open to change, enjoys new challenges
·  Self-starter – able to start and complete projects independently
·  Enable brokers to focus on revenue generating tasks by efficiently handling operations of team
·  Written/Oral communications – ability to speak and write clearly and concisely, get messages across that have the desired effect.
