What this job involves

Provides support to our Raleigh, NC Brokerage team. This role provides marketing and administrative support under the direct supervision of a combined team. The Brokerage Assistant will work in a fast-paced, team-oriented environment.

RESPONSIBILITIES

Administrative

·  Maintain and track commission pipeline in Dealio, JLL’s deal management system, for each individual broker.
·  Gather supporting documentation to complete invoice requests.
·  Submits and tracks team member’s expenses for reimbursement
·  Schedule appointments, keep calendars and arrange travel itineraries and meeting room reservations, as requested.
·  Manage commercial real estate market information databases.
·  Assist with the onboarding of new employees.
·  Proactively track client and prospect activities with brokerage team.
·  Updating and maintaining various information databases, ex. client list.
·  Manage distribution and client list for broker outreach.
·  Generates standard and ad hoc reports as required and assist with website updates (as needed) on both JLL’s site and CoStar.

Marketing

·  Create mass email campaigns via Eloqua and follow up with tracking, metrics and status reports, as needed.
·  Prepare and distribute marketing materials/packages using templates (ex. flyers, market surveys, tour books, maps, agreements, reports, etc.)
·  Have direct contact with some of the brokers representing prospects and request updates accordingly
·  Support the team in utilizing Outlook, CRM and other, data entry and maintenance for the purposes of direct marketing and client relationship development
·  Provide research (prospect, client, etc.) via online, offline and third-party resources and provide industry-related news, as needed, partnering with research department
·  Coordinate/manage mailings- partner with marketing department and/or external vendor as needed
·  Active liaison with marketing department (ex: planning client events)
·  Assist team with preparing and updating client-specific reports, such as Lease/Sublease Activity Reports
·  Contact internal and external resources for information, to include Marketing, Operations, and Research
·  Assist and participate as needed for industry functions or client events
·  Work with appropriate contact to maintain intranet/extranet sites for client and property purposes (ex. CoStar, JLL website, Weebly sites)
·  Any and all other duties and tasks assigned

Education/training

·  Bachelor’s Degree or commensurate experience

Years of relevant experience

·  3+ years in marketing and/or administrative support role in a professional environment
·  Experience in fast paced environment with competing deadlines

Skills and knowledge

·  Knowledge of appropriate software - e.g. InDesign and PowerPoint required
·  Polished Customer Service skills
