Position Summary:



The Meeting room booking Service Coordinator supports maintenance of the existing booking platform (EMS) and implementation of the new meeting room booking platform to support EY business needs. Specifically, the person hired to this role will:

 
· 
Support Deputy Product Managers in the Meeting room booking Experience teams on the creation of documentation and the definition of processes and procedures, as well as monitor vendor/supplier deliverables.

· 
Working with key stakeholders on service improvements around scheduling, reporting etc.

· 
Plan changes in accordance compliance directives as related to deployment of new video conferencing/virtual device systems. Experience with change management, trouble ticket tracking applications such as Service Now is desired.

· 
Analyze technical usage and interact with EY internal business teams to capture business requirements and recommended changes to End User Technology Experience Product Managers, aroundusage of the relevant bookings applications asthe hardware endpoints available in the meeting room (globally)

· 
Partner with others in cross functional teams e.g. Facilities Management, IT Project Management and Skype, Teams  and Video operations teams to gather requirements and coordinate deployment details of new meeting room booking platform. Knowledge sharing among key stakeholders.

 

Essential Functions of the Job:

 
· 
Support Deputy Product Managers as they consult with partner countries with appropriate recommendation

· 
Assist as needed to coordinate the ordering, installation and configuration of the new Meeting room booking platform (hardware and/or services)

· 
Drive the appropriate analytics, documentation, and project planning for newly deployed meeting room booking platform utilizing strong MS office skillset e.g. Excel

· 
Support introduction and maintenance of the operational support model for the existing solution and for yet to be deployed new meeting room booking solution

· 
Proactively assist with managing aligned vendor services to maintain operational readiness for Meeting room booking experience team

· 
Proactively oversee business use and monitor adoption of the new meeting room booking platform to identify new or emerging customer needs consistent with the service’s current and future support of IT services and processes

Analytical/Decision Making Responsibilities:


· 
Apply consultative questioning, influence management and critical thinking skills to understand the current state and recommend viable solutions that are both effective and support the value to the business

· 
Complex reporting analysis and creation regarding usage of the meeting room booking platform as leveraged conference room technologies supporting the meeting, utilizing multiple reporting platforms

· 
Utilize knowledge of MS Teams/Skype, Telepresence, videoconferencing technology and other aligned services to make role appropriate decisions including the efficient handling of change requests and determine effective ways to address current service issues

 

Knowledge and Skills Requirements:



· 
Project well-defined consultative skills to conduct effective questioning, hone in on key issues and information to formulate ideas and materials

· 
Present ideas clearly and concisely to all levels of the organization including senior and/or executive management

· 
Manifest analytical and problem-solving ability to escalate and negotiate complex and conflicting change issues, handle multiple and shifting priorities across a broad spectrum of operating environments and drive solutions that are both financially sound and operationally feasible

·  Maintain strong project management skills
· 
Maintain appropriate knowledge of services and products of external vendor and suppliers in the Meeting room booking industry to manage their activities in project deliverables  

· 
Develop an in depth and continuous understanding of EY’s business

 
Job Requirements:
 

Education: College degree in related technology field (Computer, Engineering, Science, etc.) or comparable job experiences

 
Experience: Approximately 5 to 7 years of experience in IT.
