Schedule: The Facility Administrator will be working regular days but is expected to respond as required for after-hours urgent and emergency calls both weeknights and weekends.

Summary:


Reporting to the Facility Manager, the Facility Administrator is responsible for coordinating activities at this site and for financial record keeping and reporting as required. The candidate is also responsible for administrative support and office work and for providing the supporting data for performance monitoring reports and will assist the team in preparing Reports. 

Responsabilities:

·  Receives, and manages phone calls and correspondence as required;
·  Responds to all requests from EGH Staff in a courteous and professional manner in accordance with protocols and procedures;
·  Maintain a list of up to date and accurate emergency contact information and regularly review procedures for life safety, emergency response and the fire safety plan;
·  Performs general administrative work to include but not limited to document redaction, creation and issuance of correspondence;
·  Provides administrative support to contract management in the facility including keeping sub-contractor contracts compliant and up to date;
·  Compiles data received from various sources and organizes it appropriately;
·  Prepares files and data required for the performance monitoring system from the CMMS;
·  Keeps up to date the document library and all relevant records;
·  Provides administrative support to the assignment and completion of work orders and preventative maintenance tasks;
·  Organizes and fills requests for purchasing on behalf of the facility team and handles the receipt of goods, services records and invoices;
·  Helps the Facility Manager to prepare reports;
·  Helps the Facility Manager to prepare and coordinate meetings and take meeting minutes;
·  Manages office supply inventory;
·  Prepares expense reports; and
·  Additional administrative duties as assigned.

Requirements:

·  College degree in Administration or equivalent;
·  Experienced in the use of all tools in the MS Office suite;
·  English written and spoken;
·  Working experience with SAP and CMMS systems such as QFM is an asset; and
·  Excellent communication skills, both oral and written.
