Position Summary

The Executive Assistant reports to one to two members of the executive team and provides comprehensive administrative and executive support. The Executive Assistant serves as a primary point of contact for executives on internal and external matters. The Executive Assistant also organizes and coordinates executive outreach and oversees special projects.The incumbent will have experience leading pertinent and high-profile administration and ensuring successful execution of commitments for C-Suite.  

 

Role Description

·  Provides support to executive team members in creative problem solving, project planning/management and development and execution of stated goals and objectives.
·  Anticipate and prepare daily schedule of executive's meetings and priorities. Schedule appointments without prior clearance. Ensure most effective use of executive’s time.
·  Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings. Process executive’s weekly expense report and reconciles corporate credit card account(s).
·  Initiate, establish and communicate department meetings on behalf of executive. Prepare agenda as well as ensures meetings progress according to schedule. Follows-through on meeting actionable items expeditiously.
·  Collect, analyze, and prepare information for use in discussions/meetings of executive staff and outside individuals.
·  Responsible for initiating, preparing, coordinating and proactively following up on administrative/operational duties associated with executive’s area of responsibility. Work closely and effectively with executive; keeping executive well informed of upcoming commitments and responsibilities.
·  Develop strong relationships with team crucial to the success of the organization and having a sense of issues taking place in the environment, keeping executive updated.
·  Coordinate, plan and book travel, hotel accommodations, meeting room(s) and other meeting requirements for cross-functional teams.
·  Manages a variety of special projects for executives, some of which may be highly sensitive and confidential.
·  As a member of the Administrative Community of Practice, contribute positively and actively identify ideas for continuous improvement. This is a strongly collaborative group.
·  May perform on-sight office management tasks. 
·  Act as a culture ambassador within the office and actively participate in and support employee engagement activities.
·  Must be creative and enjoy working within an organization that is mission-driven, community oriented, team focused, results driven and constantly changing.

Role Competencies

·  Associates degree or equivalent required.  Bachelors Degree preferred
·  Highly skilled with Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
·  Unquestionable integrity.
·  Superb judgement.
·  Requires a minimum of 4 years of administrative support experience with 2-3 years at the executive level.
·  Experience supporting leaders in a global-facing organization.
·  Experience and interest in internal and external communications.Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
·  Agile and comfortable driving results in fast paced, constantly changing environment.
·  Very strong interpersonal skills and the ability to build relationships with stakeholders, including executive leadership team, senior leaders and external partners.
·  Expert level written and verbal communication skills.
·  Demonstrated proactive approaches to problem-solving with strong decision-making capability.
·  Emotional intelligence and maturity.
·  Highly resourceful team-player, with the ability to also be extremely effective independently.
·  Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
·  Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.
·  Forward looking thinker, who actively seeks opportunities and proposes solutions.
