Amazon is currently looking for an experienced and professional General Manager's Assistant to join our team in our Poznan Fulfillment Centre (FC).

Reporting to the General Manager, you will play a critical role in the overall support and management assistance of the wider senior management team and the site as a whole at Poznan.

Tasks/ Responsibilities:
· Assist the General Manager with complete diary management, preparation of key information, develop presentations and weekly/quarterly business reports and provide any other level of support he/she may require, adhering to the narrative writing guidelines at all times.
· Support the General Manager, Senior Management Team and the wider FC team in general with hotel bookings, travel itineraries and expense reclaiming as required.
· Interact with Amazon counterparts on a global basis to arrange meetings, conference calls, video conferencing, diary schedules to name a few.
· Lead and get involved in FC and PL-wide projects as well as facilitating and supporting on-site projects.
· Manage the communal meeting spaces and facilities on site where directed.
· Be the key point of contact between the associate staff and the business.
· Prepare and issue minutes of meetings where required and assist with the follow up actions from meeting outcomes.
· Participate in audits of the organization including housekeeping of the FC floor, staff safety adherence, safety measures in place and the site facilities in general, and help to drive site readiness, especially for the busy Christmas period.
· Work closely with the local to drive employee morale on site through ad hoc year-round events and fun / initiatives in the weeks leading up to Christmas, ensuring adherence to pre-set budgets.
· Organize and deliver employee and other events to be held on site.
· Work closely with other departments to manage the visitor experience in advance of the visit the site and also for the duration of the visit
· Assist with the preparation of key information indicator statistics, weekly/quarterly business reports and develop presentations etc. whilst adhering to set narrative structures.
· Assist with managing and maintaining an effective computer based filing system and where appropriate manual filing system.
· Maintain the information contained in intranet pages, noticeboards and presentations relating to the site and write additional content as and when required.
· Provide an additional pair of hands where necessary and join in with initiatives when required to help meet the Customer Promise, this becomes more necessary during our Christmas period.

PREFERRED QUALIFICATIONS

· Ideally degree qualified
· 5+ years of EA experience

Desired profile



BASIC QUALIFICATIONS

· Significant EA / PA experience at General Manager and/or Senior Manager level
· Must have university degree
· Extensive experience of diary management and arranging international travel and conference calls
· Able to work efficiently and accurately when under pressure to meet tight deadlines
· Good computer skills, especially in Microsoft Outlook, Excel, Word, PowerPoint, and familiarization with using the Internet.
· Excellent organizational, planning, prioritisation skills and attention to detail
· Excellent communication (written and verbal) and interpersonal skills
· Ability to deal with ambiguity, motivate others, and influence work behaviors.
· Fluent in English and Polish
· Must be flexible and able to commit the time required to get the job done.
