JOB PURPOSE/ROLE
KEY RESPONSIBILITIES
Provides various support function for finance department heads. Maintain follow up system to ensure timely response to correspondence, phone calls, etc.
Prepare and process expense reports. Coordinate domestic and internal travel arrangements for department heads. Process all POs in the IBX system for payment.
Understand the cadence of the financial close calendar and schedule all meetings appropriately. Maintain SharePoint site as a repository for all finance reports for CFO.
Take the lead on the putting all slides together for the CFO Monthly All Hands Meetings. Work with the Department Head to ensure topics being presenting are relevant. Liaise with HR to obtain accurate monthly numbers for Highground Recognition.
Take the lead on new hires in regards to work station assignments, supplies, announcement on company intranet.
Undertake any other duties as requested by Administrative Supervisor, CFO or Department Heads. Assist with set up and coordination of finance events.
KEY REQUIREMENTS/SKILLS/EXPERIENCE
Required education: High School
Administrative Assistant Certification is a plus
3-5 years of experience in an Administrative Assistant role in a fast-paced environment supporting multiple managers
3-5 years of experience with calendar management/booking domestic and international travel
Position requires extreme attention to detail with the ability to work with sensitive and confidential information
Flexibility and willingness to manage multiple tasks and assignments effectively and professionally
