PEOPLE & DEVELOPMENT ASSISTANT

Central London

An amazing opportunity has arisen for an experienced and talented Administrator, who is looking for a step up in their career within a prestigious company based in the City. The role is to provide administrative support throughout the employee life cycle to employees based in the UK and Europe, seeking to ensure exceptional client service and proactively improve approaches and processes.

Duties and Responsibilities

Recruitment

·  Processing the required authorisation to recruit and ensuring that recruitment is tracked

·  Ensure correct Right to Work documentation is collated

·  Conduct employment references prior to commencement and ensure that all background checks are completed for new joiners, highlighting any concerns to P&D Team.

·  Responsible for sending assessment tools to candidates.…

·  Onboarding/Offboarding

·  Responsibility for the smooth running of the onboarding and offboarding processes

·  Drafting and issuing offer packs in a timely manner delivering an exceptional client experience for new joiners

·  Following up with managers to ensure the timely completion of probationary reviews

·  Ensuring leaving arrangements are agreed with managers and communicated with departing employees, providing guidance and support as required

·  Liaising with IT, Finance and Fleet to ensure all required information is shared to efficiently onboard new joiners

Reporting

·  Compiling regular reports on staff movements and recruitment to SubCo

·  Supporting the People & Development Manager to complete additional, ad-hoc reporting

Compensation and Benefits

·  Responding to employee queries relating to their benefits

·  Liaising with the Fleet Controller to action changes and updates related to vehicles and insurances

·  Working with the People & Development Manager to administer key annual processes

Training and Development

·  Support the People & Development Manager to coordinate quarterly training events

·  Track completion of mandatory training and following up with managers as required

Payroll

·  Responsibility for the smooth running of the monthly payroll process

·  Compile accurate and complete record of changes, communicating these with Finance to strict deadlines

·  Respond to employee queries, escalating to the People & Development Manager or Finance Manager as required

Systems and record keeping

·  Maintain the People Database ensuring People and Development records are kept up to date

·  Filing paperwork electronically and in hard copy, in a consistent manner

·  Maintaining content on the Intranet, uploading amended content as required

·  Supporting Managers and Employees in how to use key internal systems

Health & Safety

·  Liaise with regional representatives to ensure any points raised at audit are addressed in a timely manner

·  Work with the People & Development Manager to develop a set of guidelines for those regional reps

·  Ensure accurate tracking of key Health & Safety deadlines including the renewal of PAT testing and Health & Safety Audit

Miscellaneous

·  Drafting and issuing letters for the People & Development team including reference requests, variation to terms and conditions etc.

·  Provide first-class client service to employees and managers, responding to queries in a professional and timely manner

·  Supporting the People & Development Manager to deliver key ad-hoc projects

Working Relationships and Contacts

You will work within the People & Development team, reporting to the People & Development Manager, with a strong dotted line to the Talent Consultant. You will liaise with the IT and Finance teams and ensure that knowledge is shared for the optimum candidate experience.
