Working as part of our wider HR department, you will be dedicated to providing comprehensive EA & PA services to CEO & his direct reports as & when required. You will be lending your skills in effective time & priority management, written & verbal communication & organisation to aid our CEO with all manners of daily duties with discretion, accuracy & efficiency at all times.
This is the perfect opportunity for an individual with exceptional interpersonal & communication skills, the ability to successfully network, build relationships & collaborate with both internal & external contacts & work under strained pressure & to tight deadlines.
We are looking for an individual's keen to apply their previous experience in personal / executive assistant experience for senior management at board level to step into our EA vacancy, arisen due to a maternity leave.
Role Outline
As our newest Executive Assistant, you will accountable for the following areas of responsibilities:
· Provide a high quality secretarial & organisational support service, including management of CEO emails - proactively managing & responding where possible.
· Effective management of electronic diaries, assessing priority of appointments & reallocation as necessary.
· Providing support for an extensive range of meetings. This will include preparing agendas, booking venues, pre-meeting briefings & meeting papers, noting action points & following them up.
· Word processing correspondence & reports.
· Collating & preparing presentations for Board meeting ensuring they are circulated accurately & in a timely manner.
· Receiving & dealing with telephone calls professionally, re-directing or taking messages & using initiative to deal with queries.
· Sorting, distributing & responding or drafting responses to incoming mail in a timely & efficient manner.
· Act as a key liaison point between the senior managers & other key parties, setting up meetings as appropriate & maintaining good communication pathways.
· Organising & maintaining effective filing systems.
· Arranging travel both domestic & international, including creating detailed itineraries, booking accommodation, flights & car hire.
· Processing claims for expenses via Concur for CEO, CMO & CTO.
· Providing high quality & professional office hospitality to visitors, stakeholders & clients.
· Plus any other duties as may reasonably be required, consistent with the grade of the post.
Skill Requirements
· Experience as a Personal/ Executive Assistant to Senior Management at Board level.
· Exceptional interpersonal & communication skills, the ability to successfully network, build relationships & collaborate with a range of internal & external contacts.
· Experience of electronic & extensive diary management.
· Possess advance Microsoft office skills, particularly Word, Excel & PowerPoint with the ability to develop high quality presentations.
· Ability to organise complex travel itineraries.
· Excellent attention to detail, including proof reading skills, with the ability to maintain a high level of accuracy.
· The ability to work under sustained pressure & to tight deadlines without any loss of service level or professionalism.
· A flexible, pro-active approach to work including the ability to prioritise & re-prioritise to achieve successful outcomes in line with the CEO/companies objectives.
· Ability to work on own initiative & plan own work around CEO's priorities.
· Ability to deal with sensitive information with discretion & maintain confidentiality at all times.
· Ability to organise company events from small celebrations to the annual conference & Christmas party.
· Ability to assimilate large quantities of written & verbal communication quickly & produce accurate, timely minutes.
