Vacancy Description

We have an excellent opportunity for a proactive and efficient Business Administrator to take up a position within our Lancaster /Kendal office. Our client is a top 50 award winning professional services firm with an excellent reputation for training staff in a friendly and welcoming environment.

The Role : Business Administrator / PA
Hours : 37.5 hours per week
Location : Lancaster/Kendal (with the ability to occasionally travel to our other offices)
Salary : Negotiable

Under the line management of the Business Administration Manager, the successful candidate will facilitate office organisation and communication by undertaking administrative duties including:

·  Completing all tasks in a timely manner, within agreed SLA's and dealing with urgent matters as they arise
* Assisting with the preparation and sending of accounts
* Keeping computer databases up to date and inputting company data
* Interacting with clients either on the phone or in person
* Answering phones and dealing with queries
* Filing, scanning, photocopying and archiving
* Provide regular support to the teams on departmental projects and reports
* Assist with the set-up of new clients
* Ad hoc assistance to team members as required
* Proactively respond to queries and correspondence on behalf of the Partners to enable them to use their time effectively.
* Diary management including scheduling meetings, evaluating and allocating travel time and other time allocations as necessary.
* Organising travel and accommodation and preparing expense claims.
* Administrative support including ensuring research / documents are prepared for meetings, following up actions, organising and planning communications, minute taking, client liaison.
* Continually seek opportunities to improve processes, linking with wider service line efficiency projects.
* Share best practice and tips to help others in the Firm's wider Business Administration Team work more efficiently, making best use of technology.
* Providing contingency cover across the Firm when necessary.
* Complying with and championing our firm's Missions, Vision and Values

To be considered for this role, candidates will need to be able to demonstrate:

·  Previous experience within a similar PA role
* A strong proficiency in Microsoft Office and excellent document production skills
* The ability to demonstrate initiative and anticipate tasks in order to be one step ahead.
* High level of communication skills both written and verbal plus excellent attention to detail
* The ability to remain calm under pressure and capable of thinking quickly in changing scenarios.
* Friendly and positive attitude.
* Minimum two years' experience working in business administration
* Strong administration, organisational and prioritisation skills with the ability to manage time efficiently
* Strong numeracy and literacy skills
* Ability to maintain effective working relationships with clients, Partners, colleagues and staff.
* Professional telephone and personal manner.

The following would be desirable for this role:

·  Experience of working in a professional services environment
