Status: Temporary/Full Time (12 month contract)

Position Overview:

The Facilities Administrative Assistant contributes to the success of the Facilities and EHS Departments by executing various administrative functions.

Responsibilities:

  • Submit, track and update various POs for Facilities and EHS vendors and orders
  • Support the onboarding process for new hires by coordinating with hiring department, HR, IT and Facilities for the various requirements
  • Update various data trackers such as utilities information, financial budget results, etc.
  • Update and manage the Facilities & EHS internal sharepoint sites.
  • Maintain Facilities Help Desk phone line. Process internal customer requests and create associated work orders when needed
  • Various tasks related to site communications (LCD screen, posters, etc.)
  • Submit, track and update various POs for facilities and EHS vendors and orders
  • Support the departments by assisting with contractor management needs such as training, etc.
  • Filing tasks both electronic and paper such as work orders, quality documents, invoices, PMs, etc.
  • Support EHS activities such as (committee inspection schedules and report management, Joint Health and Safety team meetings, ERT training sessions, and various other tasks)
  • EHS training management tasks, registering employees for online training
  • Various contractor management tasks such as orientation training, vendor information input to online portal
  • Intelex system support tasks, including employee data management
  • Audit and replenish the sites First Aid kits monthly
  • EHS Commercial support activities, including medical testing approvals
  • Other miscellaneous duties as required

Required Education and Experience:

  • 3 to 6 years experience performing administrative type duties.
  • Ability to plan, organize and prioritize own daily work to meet established schedule.
  • Detail-oriented and ability to multi-task.
  • Ability to handle confidential or business sensitive information
  • Ability to clearly, concisely and accurately convey communications.
  • Ability to form and develop interpersonal, professional relationships; display socially and professionally appropriate behavior.
  • Advanced oral and written proficiency in the English language
  • Intermediate MS-Office skillset
