JOB DESCRIPTION:
Abbott EPD is looking to recruit an
Executive Assistant (Maternity Cover)
for the Innovation & Development department.
Core Job Responsibilities:
- General office management including internal and external correspondence, archiving, mailings, acting as communication interface, administration of travel management for assigned team
- Coordination of the Divisional Vice President’s business schedule, travel management
- Assist in handling of urgent matters during the absence of DVP
- Support DVP in budget control matters
- Support of the assigned team in all organizational and administrative functions as well as POR/vendor creation in SAP
- Organization and coordination of internal and external events and meetings e.g. organizing and arranging mailings, hotel bookings, travels, on-site service during global meetings and events
- Research and suggest locations for business dinners by following OEC rules; organize and attend business dinners
- Track and inform relevant parties about deadlines
- Assistance in preparing and coordinating presentations
- Set-up and tracking of contracts
- Supervisory tasks: guarantee a smooth adjustment to the job of a new employee.
- Travel management and expenses
- Arrange telephone conferences and webinars, requesting telephone conference accounts
- Optimization of current processes and introduction of modified processes
Your Profile:
- Education: Commercial education or University degree in Business Administration is required or equivalent experience
- Experience: Minimum 8 years previous admin experience
- Languages: Excellent command of English is essential, German and French as any other languages would be an asset
- Professional development as an Assistant and experience gained through a previous and comparable position
- Full command of modern IT skills is a must (MS Office)

- Willingness to travel, if required
- Highly motivated and fast learner
